Interlibrary Loan Policies

Interlibrary Loan is a system by which libraries share their materials with other libraries for their patrons’ use.

The Interlibrary Loan office at Reed Library provides service to SUNY Fredonia’s current students, faculty, staff, and emeritus faculty only. Students or faculty from another institution should contact their campus ILL office for requests; community patrons should consult with their local public library.

This service is subsidized by SUNY Fredonia and there is no cost to patrons for Interlibrary Loan orders. However, please be aware that Reed Library is not always able to obtain library materials for which a lending fee is charged.

Materials can be requested via ILLiad, our Interlibrary Loan software, or through SUNY Resource Sharing via ReedSearch (our library catalog).

ILLiad can be used to order electronic resources (such as journal articles) or physical items such as books, scores, DVDs, CDs, etc. ILLiad submits requests to participating libraries worldwide.

SUNY Resource Sharing can be used to order physical items only and submits requests only to other SUNY institutions. Physical item requests that cannot be filled via SUNY Resource Sharing will automatically be submitted to other libraries via ILLiad, with no extra steps on your part.

Orders for journal articles and book chapters CANNOT be filled through SUNY Resource Sharing.

We are not currently able to order eBooks via Interlibrary Loan through either system. SUNY is currently testing an eBook lending project with a very limited selection of titles. To see whether the book you want is included in this pilot program, please search for the item in All SUNY Libraries' Catalogs in ReedSearch .

The time it takes us to fill your request can vary widely, based upon the item being requested. Generally speaking, article requests are filled within two to four days. Book requests take longer due to shipping time but can typically be filled within 1-2 weeks. Certain items, such as new bestsellers, recently released CDs and DVDs, rare or archival materials, and foreign-language items tend to take longer, and in some cases cannot be obtained. Some libraries are still closed due to COVID and are not lending from their physical collections. Some libraries outside of the United States are not currently shipping internationally.

Journal articles will be delivered electronically to your account. You will receive an email notification when your article is available for download.

Books and other physical items can be picked up during regular library hours at the Reed-To-Go Table near the Circulation Desk. You will receive an email notification when your item is ready to be picked up. If you are not physically on campus, we can mail your items to you upon request. Faculty and staff may opt for delivery via Campus Mail as well.

Loan periods are set by the lending libraries; typically, patrons are allowed to keep the item for four weeks and request one four-week renewal. SUNY libraries allow longer loan periods up to 16 weeks with another 16-week renewal for books, with 4-week loan periods for music scores, DVDs, CDs, and other media. Your due date should appear in the paperwork on your item's cover; you will also receive an email indicating your due date when it is first checked out. If you forget your due date, you may check it by visiting your account at My Library Card.

Renewals are at the discretion of the lending library and are generally only approved once. To request a renewal, log into My Library Card using your eServices user name and password. Click on Loans. Click Renew beside the item you wish to renew.

Interlibrary Loan items can be recalled by the lending library at any time and for any reason.

Prompt return of interlibrary loan materials is expected, so that the library can continue to maintain positive relationships with resource sharing partner libraries. You may return items to the Circulation Desk or one of our convenient book drops.

Replacement charges will be imposed for grossly overdue, lost, or damaged items. Your library account will be blocked if you fail to return materials on time. This will prevent you from ordering additional Interlibrary Loan materials and checking out Reed Library-owned items until the overdue item is returned.
